Packaging and Service Guidelines

VICHARE is committed to delivering your parcels with care. We want it to reach its destination in the same condition you sent it. However, parcels go through the general wear and tear during the delivery journey. No consignment can travel up to the destination in sealed condition. It will be opened and checked at various check-points. Therefore packaging must be strong enough to sustain the jolts of journey. Under no circumstances VICHARE will take responsibility for any damage or breakage of any consignment. In order to make sure your parcels arrives safe, here are some helpful tips on packaging.

Do's
  • Always use high quality materials for your shipments. Consider strength, cushioning, and durability when selecting your wrapping supplies. Use bubble plastic, crumpled aircushions or shredded paper to cushion fragile items.
  • Use proper labeling that clearly shows Origin and Destination address, including phone numbers and PIN codes.
  • Ensure that no single package weighs more than 35 Kgs.
  • Shipments packed in wooden box should have an operable lid, which can be opened and re-locked again and again.
  • Choose a corrugated box or a rigid carton of adequate strength that's just the right size, minimising space between the item and the side of the box. Check the weight specification of the box / carton.
  • Choose the size of the package according to its content. Under-filled boxes are likely to collapse; overloaded ones may burst.
  • Choose boxes made of corrugated cardboard, with good quality outer liners. Use heavy-duty double-layered board for valuable items.
  • Use ample cushioning material to stop your packaging contents from moving. Ensure that the cushioning material is stuffed generously in the box.
  • Make sure your item doesn't touch the side of the box and provide internal protection.
  • Use strapping, when suitable, as a good way to seal and secure your box
  • Seal securely using a strong reinforced tape designed for shipping. Tape should be at least 2" wide, but preferably 3" wide.
  • Use of strapping is a good way to seal the box as it supports even weaker boxes.
  • Put fragile goods in the centre of a package; ensuring they don't touch the sides. Your item should be well cushioned on all sides.
  • Repack your items properly. Many goods sold in attractive packaging may not be suitable for shipping.
  • Protect your data discs, audio and video-tapes with soft cushioning material around each item.
  • Always use cardboard dividers when sending flat, fragile material (such as vinyl records).
  • For valuable goods use Security Packs. These are manufactured with a flap, which has a hot melt pressure sensitive adhesive strip for easy & permanent closure. Once sealed properly, it cannot be opened and has to be torn.
  • Ensure that specially designed boxes are used for packing floppies and video-cassettes.
  • Ensure that while packing sharp items like Knives, Scissors etc. the edges and points of these items are fully protected. Heavy cardboard is suitable for this. Fix the protective material securely so that it cannot be accidentally removed in transit.
  • Fragile items should always be packed by a professional packer with proper markings indicating it as FRAGILE.
  • Put fragile goods in the centre of a package; ensuring they don't touch the sides. Your item should be well cushioned on all sides.
  • Ensure liquids are stored in leak-free containers, packed with a lightweight, strong, internal material (for example, Styrofoam) and sealed with a plastic bag. Always remember that bad packaging may cause damage to surrounding items.
  • Seal semi-liquids, greasy or strong-smelling substances with adhesive tape, then wrap in grease resistant paper. Always remember that bad packaging may cause damage to surrounding items.
  • Place powders and fine grains in strong plastic bags, securely sealed and then packed in a rigid fibre board box.
  • Use "arrow-up" label for non-solid materials
  • Use triangular tubes not round tube-type cylinders to pack rolled plans, maps and blueprints. Remember always to pack small items in flyers appropriately. Protect your data discs, audio and video-tapes with soft cushioning material around each item.
  • Complete the address clearly and completely, using uppercase letters when handwriting labels to improve readability for Vichare Express & Logistics Pvt. Ltd. personnel.
  • When re-using a box, remove all labels and stickers. Ensure that the box is in good shape and not worn out.
Don't
  • Do not use bags made of fabric or cloth.
  • Do not over seal your package. Remember that all shipments can be opened by customs authorities for inspection.
  • Do not use cellophane tape or rope to seal your shipment.
  • Use a box that's old, worn out or damaged already.
  • Attempt to ship prohibited goods.
  • Do not consider "Fragile" and "Handle with care" labels as a substitute for careful packaging. They are only appropriate for information purposes.
  • Don't send dangerous or prohibited goods as you may be liable to prosecution.
  • Don't use substandard or damaged cartons.
  • Don't allow contents to move within their packaging.
  • Do not over-stuff it and do not exceed the weight specification.
Choosing The Right Box
  • Box's come in all shapes and sizes. It's this simple fact that makes them the most used and most suitable type of packaging for sending items securely.
  • Wooden boxes can provide solid protection, but make sure the corners are well protected and that the box isn't splintered.
  • For heavier items, heavy-duty double-layered cardboard is ideal (and its cheaper than wood!).
  • Avoid tubes and cylinders. These roll around, increasing the risk of damage.
Cushioning Your Parcel
  • Safe delivery depends on making sure your item is well cushioned during transit. Here are our tips for getting it right.
  • Make sure there's a small space of around 5cm (2 inches) between your item and the sides of the box.
  • You can use all kinds of everyday materials as packaging, from crunched up newspaper and old pieces of clothing to sheets of bubble wrap. Basically, anything that's likely to absorb the shock movement in transit.
  • Liquid containers need to be sealed securely to prevent leakage during transit. Wrap the container in impermeable material, surrounded by absorbent material.
  • Separate any bottles or fragile items with cushioning materials to make sure they don't clatter against each other.
Sealing Boxes Carefully

It's important that you don't use string around the edge of the box. This can cut through the package and damage the parcel. We recommend using reinforced paper tape and sealing with 2 strips that overlap the end of the box by 80mm or 3 inches. If you use standard cello tape seal it using 6 strips.

Some Packaging Suggestions
  • CDs/DVDs: Packing must be in padded envelopes or in blister-proof packing.
  • Sample medical vials: Must have adequate protection inside the packing so that the same do not move.
  • Shredded paper can be used for packing such materials.
  • Foodstuff samples like, Tea, Rice, Grains, Pulses, etc: Fabric-reinforced envelopes must be used. Plain covers should not be used.
  • Books: Must be packed in cartons / wooden cases. If in cartons, two strappings must be done to ensure that the contents hold together.
  • Textile goods: Must be first wrapped in polythene or any suitable waterproof material and then covered with strong Hessian / Jute cloth.
  • Electronic articles: Must be packed in adequate-ply corrugated cartons.

Customers are requested to read the following points carefully before booking the consignments/shipments.

Addressee's Details
  • Address,Invoice and other details of the shipment should be in English.
  • Without Telephone/Fax/Mobile Numbers, consignments & Samples will not be forwarded.
  • Any booking without Telephone Number is accepted, but it should be booked at the risk and responsibility of Shipper
  • However, consignments meant for University, Government Organizations, Embassy & Bank can be forwarded without Telephone Numbers
CD & Video Cassettes
  • CD's and Video Cassettes to all destinations will be accepted only declaring contents of CD/VIDEO and their value mentioned on Invoice.
Chemicals
  • Chemicals can be forwarded if it is accompanied with Proper Documentation
  • Hazardous & Poisonous chemicals in any form should not be accepted
  • Flammable chemicals in any form should not be accepted
Credit / Debit & ATM Cards
  • Credit, Debit & ATM cards should be booked as Non-Documents
  • These may be forwarded at SHIPPER's Risk
Currency & Cheques
  • Will not forward Currency and Blank signed Cheques & Traveler's Cheques
  • Covers containing Cheques & Traveler's Cheques in complete forms can be accepted and forwarded
Food Items
  • Dry food Items like Rice, Chilly, Turmeric Powder etc., can be sent and the quantity is limited upto 1Kg
  • Above 1Kg will be forwarded on special rate. The Special rate will be informed on request
  • Cakes & Sweets are not to be accepted
Idols & Statues
  • Idols and Statues will be forwarded with Non-Antique certificate from Handicraft Department
  • Obtain No Objection Certificate from Bank indicating the item does not have commercial value and Foreign Exchange is not involved with the transaction.
  • Original Purchase bills should be attached
Medicines
  • Doctor's Prescription/Certificate should be accompanied stating cause of illness & necessity of medicine prescribed for Patient's health
  • Doctor's Certificate/Prescription & Medical Bills, should be attached with 1 Original and 4 Xerox copies
  • For AYURVEDIC Medicines, a letter containing the details of "Mixture Preparation " should be enclose
  • Liquid Medicines will not be forwarded and if received it will be returned back to Origin station
Passport
  • We will not book passport to any destination
  • Cancelled passports can however be accepted with related paper works
Perishable Goods
  • We will not book perishable items(Eg. Fruits, Sweets and Pickles)
Precious Metals
  • We will not accept Silver, Gold, Platinum ornaments & Precious Stones/Pearls in any form
Sample Shipments
  • If a Company forwards sample, it should have a detailed Invoice typed in Company's letterhead with their seal affixed on it & signed by the Authorised Signatory
  • Liquid content will not be accepted. Any material packed in bottles will not be forwarded
  • If an individual forwards sample, a common invoide(already circulated by us) should be attached duly filled in by the individual with actual contents, quantity, value and reason for sending the same
Seeds
  • SEEDS can be forwarded if accompanied with Quarantine Certificate obtained from the Agriculture Department
Tender Documents
  • Tender consignments and Blue prints should be booked as Non-Dox
  • We will not commit delivery time for tender consignments
  • We will accept such consignments well in advance with sufficient days to ensure timely delivery
Tobacco, Cigarette and Beatle Nut
  • We will not book Tobacco, Cigarette and Beatle Nut to any destinations
  • Cigarette Company to Cigarette Company sample of Tobacco/Cigarette can be accepted with proper paper works
  • Individual-to-individual should not be accepted
  • Germany & Hong Kong has banned courier packets containing Medicines, Food Items, Rice, Seeds and any powder item for time being.
X-rays & Photo Album
  • X-Rays and Albums can be forwarded as Non-Consignments
  • Loose Photos will be considered as consignments
